DocOwned, LLC (“DocOwned,” “we,” “us,” or “our”) is committed to protecting the privacy, confidentiality, and security of doctors and other healthcare professionals who use our websites, platform, applications, products, and services, collectively referred to as the “Services.”


DocOwned helps doctors protect and manage their professional identities, reputations, profiles, and online presence. We recognize that doctors face unique privacy and security risks. Therefore, we treat nonpublic doctor contact information, account information, and payment information as confidential.


1. Our Privacy Commitment to Doctors

DocOwned does not sell or rent doctors’ personal information.


DocOwned does not provide doctor customer lists, personal email addresses, personal telephone numbers, payment information, billing information, or private account activity to pharmaceutical companies, advertisers, healthcare marketers, recruiters, insurance companies, data brokers, lead generators, or other outside organizations for their independent marketing or commercial use.

We disclose personal information only as described in this Privacy Policy, including when reasonably necessary to:

  • Operate and secure DocOwned;
  • Process authorized payments;
  • Provide services requested by a doctor;
  • Work with service providers acting on our behalf;
  • Follow a doctor’s instructions;
  • Complete a business transaction; or
  • Comply with applicable law.

Service providers acting on DocOwned’s behalf may use doctor information only to perform their assigned services, meet applicable legal obligations, or protect their systems. DocOwned does not authorize these providers to independently market to doctors or sell doctor information.


2. Optional Public Doctor Profiles

Doctors may have the option to create, activate, or maintain a publicly accessible professional profile through DocOwned.


Public profiles are optional. A doctor may be able to:

  • Keep the doctor’s profile private;
  • Make the profile publicly viewable;
  • Select which eligible professional details are displayed;
  • Review and update publicly displayed information; or
  • Request that a public profile be removed or returned to private status.


A public profile may include information selected or approved by the doctor, such as:

  • Name;
  • Professional photograph;
  • Credentials and professional title;
  • Specialty and areas of expertise;
  • Professional biography;
  • Education and training;
  • Board certifications;
  • Practice name;
  • Practice address;
  • Practice telephone number;
  • Practice email address;
  • Practice website;
  • Office hours;
  • Professional achievements; and
  • Links to public professional accounts.


DocOwned will not intentionally place the following information on a public profile unless the doctor gives specific instructions to publish an eligible contact detail:

  • Personal email addresses;
  • Personal telephone numbers;
  • Home addresses;
  • Passwords or authentication credentials;
  • Private account activity;
  • Billing addresses;
  • Payment-card information;
  • Bank-account information; or
  • Other confidential account or payment information.

Before making a profile public, doctors should review their selected information and profile-visibility settings.


Information included in a public profile may be viewed, indexed, cached, archived, copied, or shared by search engines and other third parties. Changing a profile from public to private does not guarantee immediate removal from search engine indexes, caches, archives, or third-party websites.


3. Scope of This Privacy Policy

This Privacy Policy applies to personal information collected through:

  • DocOwned websites and applications;
  • Doctor registration and account forms;
  • The DocOwned platform and dashboard;
  • Private and public doctor profiles;
  • Subscription and payment processes;
  • Customer-support communications;
  • Reputation, identity, and professional-profile monitoring;
  • Emails, forms, surveys, and other communications; and
  • Other DocOwned Services that reference this Privacy Policy.

This Privacy Policy does not govern independently operated websites, platforms, or services that DocOwned does not control.


4. Information We Collect

DocOwned collects information reasonably necessary to establish and maintain accounts, provide Services, process payments, protect the platform, and communicate with users.


A. Contact and Account Information

We may collect:

  • Doctor name;
  • Professional title and credentials;
  • Specialty;
  • Practice or organizational affiliation;
  • Business or practice address;
  • Email address;
  • Telephone number;
  • Username and account identifiers;
  • Profile-visibility selections;
  • Account and communication preferences; and
  • Information submitted through support requests.

A doctor may provide a personal email address, personal telephone number, or other nonpublic contact information. DocOwned treats that information as confidential unless the doctor specifically chooses to publish an eligible contact detail through a public profile.


B. Professional Information

We may collect, obtain, review, organize, or analyze professional information such as:

  • Medical-license information;
  • National Provider Identifier information;
  • Professional biographies;
  • Education and training;
  • Board certifications;
  • Credentials;
  • Specialties and areas of expertise;
  • Practice locations;
  • Professional photographs;
  • Public directory profiles;
  • Public reviews and ratings;
  • Professional websites;
  • News articles and online mentions;
  • Search-engine results;
  • Public social-media profiles; and
  • Other publicly available professional information.

We may obtain this information directly from the doctor, from the doctor’s authorized representative, or from publicly available sources.


C. Payment and Billing Information

When a doctor purchases a subscription or service, payment information is processed through an authorized payment processor.

The payment processor may collect:

  • Cardholder or account-holder name;
  • Billing address;
  • Payment-card number;
  • Expiration date;
  • Security code;
  • Bank-account information;
  • Transaction amount and date; and
  • Other information needed to authorize the transaction.


DocOwned does not intend to directly receive or store complete payment-card numbers, payment-card security codes, or online-banking credentials on its own systems. Those credentials are handled by the applicable payment processor under its own terms, security program, and privacy policy.


DocOwned may retain limited billing and transaction information, such as:

  • Account holder’s name;
  • Billing address;
  • Last four digits of a payment card;
  • Card type;
  • Payment status;
  • Subscription level;
  • Payment and renewal dates;
  • Invoice records; and
  • Payment-processor transaction identifiers.


DocOwned does not sell, publish, or use payment information for advertising, profiling, data-broker, or public-profile purposes.


D. Website, Device, and Usage Information

When someone uses the Services, we may automatically collect:

  • Internet Protocol address;
  • Browser and device type;
  • Operating system;
  • Referring page;
  • Pages or features used;
  • Date and time of access;
  • Login and security activity;
  • Approximate geographic area derived from an Internet Protocol address;
  • Cookie or similar technology identifiers; and
  • Error, security, and diagnostic information.

We use this information to operate, secure, maintain, and improve the Services.


E. Communications

We may retain communications sent to or received from doctors, including support requests, profile instructions, service inquiries, feedback, and account-related communications.


Doctors should not submit patient records, protected health information, or patient-identifying information through DocOwned unless DocOwned has expressly authorized that use in writing and any legally required agreements are in place.


5. Sensitive Personal Information

Depending on the context and applicable law, certain information may be treated as sensitive personal information or sensitive data. This may include:

  • Account login credentials;
  • Financial-account or payment credentials;
  • Government identification numbers;
  • Precise geolocation;
  • Information concerning a person’s physical or mental health;
  • Genetic information;
  • Biometric information processed to uniquely identify a person;
  • Contents of certain private communications;
  • Racial or ethnic origin;
  • Religious or philosophical beliefs;
  • Citizenship or immigration status;
  • Sexual orientation or sex-life information; and
  • Other information classified as sensitive by applicable law.


A medical license number, National Provider Identifier, specialty, credential, professional biography, or other publicly available professional information is not necessarily sensitive personal information merely because it relates to a doctor.

DocOwned collects or processes sensitive personal information only when reasonably necessary to:

  • Create or secure an account;
  • Process an authorized transaction;
  • Provide a requested service;
  • Verify identity;
  • Prevent fraud or unauthorized access;
  • Meet legal obligations; or
  • Carry out another purpose disclosed at the time of collection.

DocOwned does not use sensitive personal information to infer unrelated personal characteristics or for independent targeted advertising.


Where applicable law provides a right to limit the use or disclosure of sensitive personal information, withdraw consent, or opt out of particular processing, DocOwned will honor a properly submitted request unless an exception applies.


6. How We Use Information

DocOwned may use personal information to:

  • Establish, authenticate, and administer accounts;
  • Create and maintain private or public doctor profiles;
  • Apply profile-visibility selections;
  • Deliver purchased or requested Services;
  • Monitor professional profiles, reviews, listings, identity risks, and online mentions;
  • Generate reputation, identity, or risk information;
  • Send alerts, reports, and service communications;
  • Respond to support requests;
  • Process subscriptions and authorized payments;
  • Maintain billing and transaction records;
  • Improve platform performance and functionality;
  • Detect, investigate, and prevent fraud, abuse, and unauthorized access;
  • Secure the Services;
  • Enforce agreements and platform rules;
  • Comply with legal, tax, accounting, and regulatory obligations; and
  • Protect the rights, safety, property, and security of DocOwned, its doctors, and others.


DocOwned will not use a doctor’s confidential contact information to build an unrelated marketing profile or allow another business to independently solicit that doctor.


7. How We Disclose Information

A. Information Made Public at the Doctor’s Direction

If a doctor chooses to make a profile public, DocOwned will display the professional information selected or authorized for that profile.

Making a profile public does not authorize DocOwned to publish private account information, nonpublic contact information, or payment information.


B. Service Providers

DocOwned may provide limited information to service providers that perform functions on our behalf, including:

  • Payment processing;
  • Cloud hosting and storage;
  • Account authentication;
  • Email and communications delivery;
  • Website and platform operation;
  • Cybersecurity;
  • Fraud prevention;
  • Customer support;
  • Analytics;
  • Accounting;
  • Legal support; and
  • Compliance services.

Service providers receive only the information reasonably necessary for their assigned functions. They are not authorized by DocOwned to sell doctor information or use it for unrelated advertising or marketing.


DocOwned may maintain a current list of significant service providers or subprocessors on its website or make that information available upon a verified request, subject to reasonable security and confidentiality limitations.


C. At the Doctor’s Direction

We may disclose information when a doctor specifically requests or authorizes us to do so, including communications with:

  • A medical practice;
  • An attorney;
  • A public-relations professional;
  • A website administrator;
  • A directory or review platform;
  • A licensing organization; or
  • Another authorized representative.

D. Legal, Security, and Safety Reasons

We may disclose information when reasonably necessary to:

  • Comply with a subpoena, court order, warrant, law, or valid governmental request;
  • Investigate suspected fraud, illegal conduct, or misuse;
  • Protect DocOwned accounts or systems;
  • Enforce DocOwned’s contracts or legal rights; or
  • Protect the rights, safety, security, or property of DocOwned, its users, or others.

Where legally permitted and reasonably practical, DocOwned may notify the affected doctor before producing confidential account information in response to a legal demand.


E. Business Transactions

Information may be reviewed, transferred, or disclosed in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction.


Any successor receiving personal information will be expected to honor the privacy commitments applicable to that information.


8. Information We Do Not Sell or Share for Advertising

DocOwned does not sell or rent doctors’ personal information.


DocOwned does not disclose personal information to third parties for their own:

  • Behavioral or cross-context advertising;
  • Independent email marketing;
  • Independent telephone or text solicitation;
  • Pharmaceutical marketing;
  • Recruiting lists;
  • Insurance marketing;
  • Data-broker databases;
  • Lead-generation lists; or
  • Unrelated commercial profiles.

Information voluntarily published by a doctor through a public profile is publicly displayed professional information. The doctor’s decision to publish that information does not authorize 

DocOwned to sell private contact, account, or payment information.


DocOwned will evaluate its advertising, analytics, cookie, and vendor practices on an ongoing basis. If DocOwned begins selling or sharing personal information, using personal information for targeted advertising as legally defined, or engaging in another activity carrying an opt-out right, DocOwned will provide any notice and opt-out mechanism required by applicable law.


9. Global Privacy Control and Universal Opt-Out Signals

Where required by applicable law, DocOwned recognizes qualifying browser-based opt-out preference signals, including Global Privacy Control or another recognized universal opt-out mechanism, as a request to opt out of the sale or sharing of personal information or the use of personal information for targeted advertising.


Because DocOwned does not presently sell personal information or share it for cross-context behavioral advertising, receiving such a signal may not change DocOwned’s current processing practices.


DocOwned will not use an opt-out preference signal to change a doctor’s voluntary decision to make a professional profile public. Doctors must manage public-profile visibility through their account settings or by contacting DocOwned.


10. Cookies and Similar Technologies

DocOwned may use cookies and similar technologies for:

  • Login and authentication;
  • Security and fraud prevention;
  • Maintaining preferences;
  • Platform functionality;
  • Measuring performance;
  • Diagnosing errors;
  • Understanding general usage; and
  • Other purposes disclosed through an applicable cookie notice.

Where required, DocOwned will obtain consent before using nonessential cookies or provide an appropriate way to reject or manage them.


Blocking essential cookies may prevent account or platform features from working properly.


11. Payment Security

DocOwned uses an established third-party payment processor to process subscription and service payments.


Complete payment credentials are transmitted to and handled by the payment processor rather than intentionally stored in complete form in DocOwned’s systems.


DocOwned uses reasonable administrative, technical, and organizational safeguards to protect billing records and account information under its control. No website, database, payment system, or electronic transmission method can be guaranteed to be completely secure.

Doctors should promptly notify DocOwned and their financial institution if they suspect an unauthorized transaction or compromised payment method.


12. Information Security

DocOwned uses reasonable safeguards designed to protect nonpublic contact, account, and billing information against unauthorized access, disclosure, alteration, loss, or misuse.

Safeguards may include:

  • Encryption during transmission;
  • Access controls;
  • Authentication requirements;
  • Role-based access limitations;
  • Secure cloud infrastructure;
  • Security monitoring;
  • Vendor assessments;
  • Confidentiality obligations;
  • Software updates;
  • Security testing;
  • Backup and recovery processes; and
  • Incident-response procedures.

Access to confidential doctor information is restricted to personnel and service providers with a legitimate need for access.


Doctors are responsible for protecting their passwords and authentication credentials.

Information selected for a public profile is no longer confidential after it is publicly displayed. DocOwned will continue to protect nonpublic account, contact, and payment information.


13. Automated Processing, Reputation Scores, and Profiling

DocOwned may use software, rules, analytics, artificial intelligence, or other automated processes to:

  • Identify changes to public professional information;
  • Detect potential identity inconsistencies;
  • Categorize reviews or online mentions;
  • Analyze general sentiment;
  • Prioritize alerts;
  • Identify possible reputation risks;
  • Generate informational scores; or
  • Recommend actions for a doctor’s consideration.

These outputs are intended to provide information and assistance. They may be incomplete, inaccurate, or dependent on third-party data. Doctors should independently review important findings before acting on them.


DocOwned does not intend to use automated processing to independently make decisions concerning a doctor’s employment, medical licensure, access to healthcare, insurance eligibility, credit, housing, education, or another similarly significant decision.


Where DocOwned uses automated decision-making in a manner that creates an access, notice, correction, explanation, or opt-out right under applicable law, DocOwned will provide the required information and mechanism.


14. Biometric Information

DocOwned may collect professional photographs for doctor profiles, account administration, or related Services.


DocOwned does not use professional photographs to derive face geometry, conduct facial recognition, create biometric identifiers, or uniquely identify a doctor through biometric analysis unless DocOwned first provides a separate notice and obtains any consent required by applicable law.


If DocOwned introduces biometric identity-verification features, DocOwned will establish appropriate collection, consent, security, retention, and deletion procedures before activating those features.


15. Data Retention

DocOwned retains personal information only as long as reasonably necessary to:

  • Maintain an account;
  • Maintain a public profile requested by a doctor;
  • Provide Services;
  • Complete and document transactions;
  • Resolve disputes;
  • Prevent fraud and abuse;
  • Maintain security records;
  • Enforce agreements; and
  • Meet legal, accounting, tax, insurance, and regulatory obligations.

When information is no longer necessary, DocOwned will delete, deidentify, anonymize, or securely dispose of it, subject to legal obligations and technical limitations.

Payment processors and other service providers may retain information under their own legal, security, and compliance requirements.


After an account is closed or a profile is made private, information may temporarily remain in secure backups, security logs, transaction records, search-engine caches, internet archives, or records DocOwned is legally required to retain.


16. Privacy Rights

Depending on where a doctor resides and whether the applicable law covers DocOwned and the information involved, a doctor may have the right to:

  • Confirm whether DocOwned processes the doctor’s personal information;
  • Access personal information;
  • Obtain a portable copy of eligible information;
  • Correct inaccurate information;
  • Delete eligible information;
  • Opt out of the sale of personal information;
  • Opt out of sharing for cross-context behavioral advertising;
  • Opt out of targeted advertising;
  • Opt out of certain legally defined profiling;
  • Limit certain uses of sensitive personal information;
  • Withdraw consent where processing is based on consent;
  • Obtain information about categories of information collected or disclosed;
  • Request information about applicable third parties or categories of third parties;
  • Appeal the denial of a privacy request; and
  • Exercise rights without unlawful discrimination.

Doctors may also manage profile visibility, update public-profile information, or request removal of a DocOwned public profile.


Privacy rights are subject to verification, legal exceptions, and limitations under applicable law.


17. Submitting a Privacy Request

Doctors may submit a privacy request through:

The request should describe the right being exercised and provide enough information for DocOwned to locate the relevant account or records.


DocOwned may request information reasonably necessary to verify identity. Verification information will be used only to evaluate and process the request or as otherwise required by law.


DocOwned will acknowledge and respond to verified requests within the period required by applicable law. Unless a different period applies, DocOwned generally intends to respond within 45 days. When legally permitted and reasonably necessary, DocOwned may extend the response period once and will provide notice explaining the extension.


DocOwned may deny or limit a request when permitted by law, including when identity cannot reasonably be verified, an exception applies, the request is manifestly unfounded or excessive, or fulfilling the request would adversely affect the rights of another person.


18. Appeals

Where applicable law provides a right to appeal, a doctor may appeal DocOwned’s denial of a privacy request by:

  • Replying to the denial notice with the word “Appeal”;
  • Emailing support@docowned.com with the subject “Privacy Request Appeal”;

The appeal should identify the original request and explain why the doctor believes the decision should be reconsidered.

DocOwned will review and respond to an appeal within the period required by applicable law. If an appeal is denied, DocOwned will provide any additional information required by the applicable state law, which may include instructions for contacting the appropriate state attorney general or regulatory authority.


19. Authorized Agents

Where permitted by applicable law, a doctor may designate an authorized agent to submit a privacy request.

DocOwned may require:

  • Written permission signed by the doctor;
  • Evidence that the agent is authorized to act for the doctor;
  • Verification of the doctor’s identity directly with the doctor; or
  • A valid power of attorney where applicable.


DocOwned may deny a request from an agent who does not provide adequate proof of authority.

An authorized agent may submit a request by emailing support@docowned.com


20. Email and Text Communications

DocOwned may use contact information to send:

  • Account-verification messages;
  • Security alerts;
  • Monitoring and reputation alerts;
  • Billing and renewal notices;
  • Profile-visibility notifications;
  • Service announcements;
  • Customer-support responses; and
  • Other communications related to an account or requested Service.

DocOwned may send information about its own products or services where legally permitted. Doctors may unsubscribe from promotional emails through the unsubscribe mechanism in those messages.


Unsubscribing from promotional communications will not stop necessary account, billing, security, legal, profile, or service communications.


DocOwned does not provide doctor email addresses or telephone numbers to third parties for their independent solicitation.


21. Publicly Available Information

Professional information about a doctor may already be publicly available through:

  • Government databases;
  • Licensing boards;
  • National Provider Identifier records;
  • Medical directories;
  • Practice websites;
  • Search engines;
  • Review platforms;
  • News sources; and
  • Public social-media profiles.

DocOwned may collect, organize, monitor, or analyze publicly available professional information to provide the Services.


The availability of professional information from a public source does not authorize DocOwned to disclose the doctor’s private DocOwned account information, nonpublic contact information, or payment information.


DocOwned cannot guarantee the correction or removal of information controlled by an independent website, government agency, directory, search engine, news organization, social-media service, review platform, or internet archive.


22. International Processing and Transfers

DocOwned is based in the United States. Personal information may be stored or processed in the United States or in another country where DocOwned or its service providers operate.


Privacy and data-protection laws in those jurisdictions may differ from the laws where the doctor resides.


When required by applicable law, DocOwned will use an approved transfer mechanism or other appropriate safeguard for international transfers, which may include contractual protections, adequacy decisions, certifications, or another legally recognized mechanism.

Doctors may contact DocOwned to request additional information about the locations or safeguards applicable to their information.


23. Patient and Health Information

DocOwned is intended to manage doctors’ professional identities, reputations, and profiles. It is not intended to function as an electronic health record, patient portal, clinical system, or repository for patient medical information.


Doctors and practices must not submit patient records, protected health information, patient photographs, or information identifying an individual patient unless DocOwned has expressly authorized the use in writing and all legally required agreements and authorizations are in place.


Doctors must not include patient-identifying information in a public profile.


Use of DocOwned by a doctor or medical practice does not automatically cause every DocOwned service to be subject to the Health Insurance Portability and Accountability Act.


24. Minors

DocOwned is a professional and business-oriented service intended only for adults who are at least 18 years old.


DocOwned does not knowingly offer accounts to, market the Services to, or collect personal information directly from children or minors.


If DocOwned learns that it has collected personal information directly from a person under 18 without appropriate authorization, DocOwned will take reasonable steps to delete the information.


25. Third-Party Websites and Services

The Services and public profiles may contain links to independent websites, directories, payment processors, review platforms, social networks, or other third-party services.


DocOwned does not control the privacy, security, accuracy, or content practices of those services. A link from DocOwned does not mean that the third party is governed by this Privacy Policy.


Doctors should review the privacy and security policies of third-party services before providing information to them.


26. Changes to This Privacy Policy

DocOwned may update this Privacy Policy to reflect changes in:

  • The Services;
  • Technology;
  • Vendors;
  • Security practices;
  • Profile features;
  • Business operations; or
  • Legal obligations.

When changes are made, DocOwned will post the revised Privacy Policy and update the “Last Updated” date.


If a change materially affects how DocOwned uses or discloses personal information, 


DocOwned will provide additional notice or obtain consent when required by applicable law.


DocOwned will not treat an update as permission to sell private doctor contact or payment information.

To protect doctor information, DocOwned may verify identity or authority before fulfilling an account, profile, access, correction, deletion, or privacy-rights request.


28. No Guarantee of Absolute Security

DocOwned takes doctor privacy seriously and uses reasonable safeguards to protect information. However, no electronic system, website, database, payment network, or transmission method is completely immune from risk.

If DocOwned determines that a security incident affects personal information, DocOwned will investigate the incident and provide notices required by applicable law.


29. Acceptance and Acknowledgment

By using the Services, creating an account, making a profile public, or purchasing DocOwned Services, the user acknowledges the information practices described in this Privacy Policy.

Where consent is required by law, DocOwned will request consent separately rather than relying solely on this acknowledgment.
